1. Acquisition of Personal Information

We will acquire personal information within the scope of the purposes of use, and such acquisition shall be conducted by lawful and fair means.

We will use the obtained personal information within the following purposes.
In addition, we will obtain your prior consent before using your personal information beyond the following purposes, except where permitted by the APPI or other applicable laws and regulations.

(7) For purposes other than the above, with prior notification

3.Management of Personal Data

We will appropriately manage the obtained personal data according to the purposes of use, and take necessary and appropriate safety management measures including those for preventing leakage, loss or damage of data.

4.Entrustment of Handling Personal Data

We may outsource the handling of personal data to third parties. In such case, we will confirm that the contractor is suitable for handling the personal data. In addition, we will conclude a contract concerning the handling of personal data and manage the entrustment thereof.

5.Provision to Third Parties

As part of our human resources and global networking business, in order to introduce our customers to relevant entities, we may provide our customers’ personal data to such entities after separately obtaining their prior consent. Aside from this, we will not provide your personal data to any third party without your prior consent. Notwithstanding the foregoing, we may provide personal data to third parties without your consent in the following cases.
(1) When the provision is based on the laws and regulations
(2) When the provision is necessary to protect the life, body or property of a person, and obtaining your consent is difficult
(3) When the provision is particularly necessary for the improvement of public health or the promotion of sound growth of children, and obtaining your consent is difficult
(4) When the provision of personal data is permitted under the APPI or other applicable laws and regulations

6. Sharing of Personal Data Within the Group

Each company belonging to the AAIC Group shares personal data within the group as detailed below. AAIC Japan Co., Ltd. is responsible for managing such shared personal data. For more details about AAIC Group, please see here.
(1) Categories of shared personal information
This includes names, company names, positions, contact information such as telephone numbers and email addresses, transaction-related information, responses to inquiries and surveys, and any other personal information of our customers that we hold.
(2) Purpose of use of the shared personal information
Each company belonging to us uses the shared personal data within the scope of “2. Purposes of Use.”

7. International Transfer of Personal Data

We generally store our customers’ personal data in Japan. Except in the following cases, we will not provide your personal data to any third party in a foreign country without obtaining your prior consent.
(1) The destination country is recognized as having an adequate level of personal data protection system under the APPI or other applicable laws and regulations.
(2) We have established an adequate data protection system within the third party to which we transfer the personal data by entering into a contract with such third party or otherwise.

8.Your Rights to Access, etc.

Upon receiving a request from you for the disclosure, correction, deletion, or suspension of use, etc. of personal data, we will respond to the request without delay after performing identity verification pursuant to the applicable laws and regulations. To make such a request, you need to submit identity verification documents. For more details, please contact us via the contact form provided in “Section 11.Contact Details”.

With regard to requests for disclosure, disclosure will be made by means of electronic records or documents pursuant to your choice. In addition, we may require you to pay fees for the disclosure equivalent to the total actual expenses, such as the mailing cost, unless this is prohibited under the applicable laws and regulations.

9.Revision

We will review and update this Privacy Policy as appropriate to maintain appropriate handling of personal information. When changes are made to this Privacy Policy, an update notice and the effective date of the amended Privacy Policy will be posted on our website.
